1. Our Commitment

The Australian Institute of Petroleum (AIP) is committed to protecting your privacy and will treat all personal information provided to it in accordance with the National Principles for the fair handling of personal information, pursuant to the Privacy Amendment (Private Sector) Act 2000.

The statement that follows explains how the AIP collects, uses, discloses and protects the information we collect from you.

2. Collection of Information

AIP may collect personal information from you through hardcopy forms or through forms provided by AIP's web site.

AIP will only collect and store that information which it reasonably requires to do business with you or which is necessary:

  • for its functions or activities including the administration of accreditation programs eg driver passport scheme;
  • to offer, provide and improve our services eg online ordering.

AIP will not collect or monitor any personal information about you without your consent nor will it use or disclose to others your personal details without prior authorisation unless it is:

  • to release information to relevant persons or authorities where we are required by law or following reasonable requests by Commonwealth or State Government authorities;
  • necessary because of the service you are using or for a service you have requested;
  • to implement our terms of service including training and accreditation programs;
  • to protect the rights or property of AIP or others.

Personal information is not collected when you browse the web site anonymously. Browsing is anonymous until personal information is required to make an enquiry or register to use AIP's eCommerce Facility. When you engage in activities such as registering to access AIP's online publications ordering facility, you may be required to submit personal information to AIP. This information will include data such as you name, company name, address, phone number, fax number, and e-mail address. If you choose not to provide the information that is requested by AIP, you may continue to visit the site but you may be unable to access certain services or secure pages.

Information collected by AIP is kept for as long as it is needed to service your account and provide services and products requested by you. When using AIP's eCommerce Facility, a user's registration information is used for customer identification and is stored in a database which is accessed solely for that purpose. When you use AIP's eCommerce Facility, your credit card details are collected by our payment gateway provider (eWAY). Credit card details are not kept beyond the required time needed to process transactions and they are passed from the users machine to the eCommerce payment gateway via encrypted transfers.

3. Use and Disclosure of Information

The primary purpose in collecting your information is to fulfil our business commitments to you in providing information about the petroleum industry and to efficiently administer industry-wide training and accreditation programs.

The AIP does not permit third parties to use information about you other than to perform services that the AIP has contracted with them to provide. All suppliers, agents and third party companies sign a confidentiality agreement with the Institute. The AIP does not sell personal information to third parties.

4. Links to Other Websites

The AIP has links to third party websites that provide additional information, services and benefits. AIP assumes no responsibility for the information practices of third-party internet sites where a user of the AIP website is able to access non-AIP internet sites through ours. You are encouraged to review each internet site's privacy policy before disclosing any personal information.

5. Storage and Security of Personal Information

The AIP stores personal information in a range of paper-based and electronic forms. The AIP will use all reasonable endeavours to ensure that you only provide personal information in a secure environment and when the information is no longer needed it will be destroyed or permanently rendered anonymous.

Both our ISP and eWAY protect the security of your personal and financial information during transmission by using Security Sockets Layer (SSL) software, which encrypts information you input. They also operate secure data networks protected by an industry standard firewall and password protection system. eWay has ensured us that the details of customers using our eCommerce Facility are not stored on a server that is accessible by the internet.

Notwithstanding the fact that we take all reasonable steps to protect your personal data including the use of encryption technology, we cannot guarantee the security of any data you disclose on-line. You can assist us to keep your personal information secure by ensuring that any password you use on our website is kept strictly confidential, and by logging off when you have finished using a shared computer.

The AIP limits employee access to the servers and databases that store user information. We have taken all reasonable steps to prevent unauthorised access, disclosure, loss , misuse or alteration of data. You should be aware of the inherent risks associated with the transmission of information via the Internet.

6. Cookies

Our Internet Service Provider has assured us that no cookies are employed on this web site.

7. Accessing and Changing Your Personal Information

The AIP attempts to ensure that all personal information collected and stored is correct and accurate. You are entitled to request reasonable access to the information we hold about you. If you wish to access and/or correct any information held by the AIP, please email info@aip.com.au.

Customers using our eCommerce Facility can view and correct their details at any time by going to: http://ecom.aip.com.au, log in and then go to 'Edit Profile'.
